Who this applies to

This policy applies to everyone who uses RinkHQ — coaches, parents, and any other users. It sits alongside the Terms of service and is incorporated into them. Using RinkHQ means you accept both.

Lawful use

You must use RinkHQ only for lawful purposes and in accordance with applicable UK law. In particular you must not:

  • Use the platform to facilitate any unlawful activity, including fraud or financial crime.
  • Impersonate another person, coach, or organisation.
  • Create or operate multiple accounts to evade a restriction or ban.
  • Use the platform to transmit or distribute illegal content of any kind.

Accurate information

The platform works because everyone provides honest information.

  • Coaches must represent their qualifications, licences, and DBS status accurately. Publishing sessions while holding a lapsed licence or expired DBS is a breach of this policy.
  • Parents must provide accurate skater details, including medical conditions and emergency contacts. Omitting medical information that a coach would need to know about is a serious breach.
  • All users must not submit false reviews or testimonials — about coaches, parents, or the platform itself.

Respectful conduct

RinkHQ facilitates communication between coaches and families around junior sport. The following are not acceptable on the platform:

  • Harassment, abuse, or threatening behaviour — directed at coaches, parents, children, or platform staff.
  • Defamatory statements about any person, club, or organisation.
  • Discriminatory language or conduct on the basis of race, gender, disability, religion, sexual orientation, age, or any other protected characteristic.
  • Any contact with a child that a parent has not explicitly consented to via the platform’s booking and communication flow.

Others’ data

Access to other users’ data is granted strictly for the purpose of running the booking relationship. Using that access for any other purpose is a breach of this policy and of UK data protection law.

  • Coaches must not share, export, or sell any family or skater data they can see on the platform, including medical notes and emergency contacts.
  • Coaches must respect photo-consent settings — do not photograph or share imagery of a skater whose parent has not opted in.
  • Parents must not attempt to access data belonging to other families.

Platform integrity

You must not attempt to interfere with, circumvent, or exploit the platform’s security or data isolation. Specifically:

  • Do not attempt to access data outside the scope of your account role — including attempting to bypass row-level security controls.
  • Do not scrape, crawl, or systematically extract content from the public-facing site for redistribution or resale.
  • Do not probe, test, or attempt to exploit security vulnerabilities without prior written permission. If you believe you have found a vulnerability, see the Security page for how to report it responsibly.
  • Do not use automated tools to create accounts, place fake bookings, or manipulate platform metrics.

Consequences

Violations of this policy may result in:

  • A warning and a requirement to remove offending content.
  • Suspension of your account pending investigation.
  • Permanent ban from the platform — including all associated accounts. RinkHQ has the technical capability to ban accounts and will exercise it where warranted.
  • Referral to the relevant authorities where conduct is unlawful.

The severity of the response will reflect the severity and intent of the breach. We may act without prior warning for serious violations.

Reporting a violation

If you witness or experience behaviour that breaches this policy, please let us know. You can report via:

safety@rinkhq.app — for reports about user conduct or content.

Reports are treated in confidence. We will acknowledge every report and investigate it. Where the conduct reported may also constitute a criminal offence or a safeguarding concern, please contact the police or emergency services as appropriate — do not rely solely on a platform report.
